Terms of Service

Last updated 28 September 2026

These terms are an agreement between your business and Aureus Automation Pte Ltd, Singapore (“we”, “us”), which runs DiaryPilot. By creating an account you accept them on behalf of your business and confirm you are authorised to do so. Our Privacy Policy explains how we handle personal data.

1. The service

DiaryPilot gives appointment-based businesses an online booking page, a calendar, client records, reminders and related tools. We may improve or change features over time; if we remove something important to paid plans, we will tell you in advance.

2. Your account

  • Keep your sign-in details secure and tell us promptly if you think someone else has access.
  • You are responsible for what happens under your account, including what your team members do with the logins you give them.
  • The information you give us, including your business details, must be accurate.

3. Free trial, plans and billing

  • New accounts start with a 30-day free trial. No card is needed. At the end of the trial, the dashboard and online booking pause until you choose a plan; we email you before that happens.
  • Paid plans are billed monthly in advance in Singapore dollars through our payment provider, Stripe, and renew automatically each month until cancelled. Prices exclude GST, which is added where it applies.
  • Plans differ by the number of active team members, as shown on our pricing and in Settings → Plan & billing.
  • If a payment fails, Stripe retries it for a period. If it still can’t be collected, we may pause the account until it is.
  • We may change prices with at least 30 days’ notice by email. The new price applies from your next billing date after the notice period.

4. Cancelling and refunds

You can cancel at any time in Settings → Plan & billing. Cancellation takes effect at the end of the month you have already paid for, and you keep full access until then.

Payments are for a month of service and are not refunded for partly used months, except where the law requires otherwise. If you think you were charged in error, contact us and we will put it right.

5. Your data

You own the data you and your clients put into DiaryPilot. You give us permission to host, process and display it only to provide the service to you. We act as your data intermediary for your clients’ personal data, as described in our Privacy Policy.

You are responsible for having a lawful basis, including your clients’ consent where needed, for the data you collect through DiaryPilot, and for how you use it, for example when you message clients.

You can export your clients and bookings as CSV at any time. After cancellation or an unconverted trial, we keep your data for at least 90 days, after which we may delete it.

6. Acceptable use

Don’t use DiaryPilot to:

  • break the law, or send spam or messages your clients haven’t agreed to receive;
  • store medical records or run a licensed healthcare service (DiaryPilot isn’t built for that);
  • try to access other businesses’ data, probe or overload the service, or get around plan limits or security;
  • resell the service without our written agreement.

We may suspend an account that seriously or repeatedly breaks these rules, telling you why unless the law prevents it.

7. Availability and support

We work to keep DiaryPilot available and fast, but we don’t promise it will never be interrupted, for example during maintenance or problems with our providers. Support is by email through our help page, usually answered within one business day, Singapore time.

8. Our responsibility

DiaryPilot is provided “as is”. To the extent the law allows, we are not liable for indirect or consequential losses such as lost profits, lost bookings or lost data you could have exported, and our total liability for any claim is limited to the fees you paid us in the 12 months before it arose.

Nothing in these terms limits liability that cannot be limited by law.

9. Changes, law and contact

We may update these terms. For material changes we will email account owners at least 14 days before they apply; continuing to use DiaryPilot after that means you accept them. If you don’t, you can cancel.

These terms are governed by the laws of Singapore, and the Singapore courts have jurisdiction.
